Privacy Policy

This notice explains how QPS , collects, uses, discloses, transfers and stores any personal data relating to you, such as your name, address, etc. (“Personal Data”).

What Personal Data do we collect from you?

The Personal Data collected by QPS could include name, address, email address, telephone/mobile phone number, job position and employer.

In case of a Softlock license, we also collect your IP address, username and hostname. The Personal Data is collected from you directly and in case of a Softlock License from the computer you enabled your license on.

Why do we collect your Personal Data and what do we do with it?

Your Personal Data will be registered in QPS’s Customer Relationship Management system, Licensing Database, Financial System, Support system, download system and/or our documentation system. The purpose of QPS’s processing of your Personal Data is (i) to provide relevant information to you/your employer about QPS’s products and services, and (ii) to facilitate current and/or future engagements between QPS, you and your employer.

What is QPS’s legal basis for the processing of your Personal Data?

QPS’s processing of your Personal Data is based on the legitimate interests pursued by QPS. This means that QPS is of the view that its interest in processing your Personal Data for the purposes listed above prevails the privacy violation that you are exposed to as a result of the processing. This conclusion from our balance of interest test is made especially due to the fact that (i) it is crucial for QPS to process contact information to a representative of QPS’s customers to facilitate our customer engagements as well as with our suppliers; (ii) that the processing of your Personal Data is limited to the extent possible; and (iii) that you at any time may choose to opt-out from receiving communication from QPS.

Who we share your Personal Data with?

QPS will share your Personal Data with suppliers and partners that carry out services on QPS’s behalf:

  • CRM system which we use to store your personal data
  • Mailing list system to send you our newsletter and invitations
  • License system to create, store and run your licenses you purchased, rented, subscribed to.
  • Webinar tool on which you sign up for webinars and make it possible for you to participate in a webinar.
  • Reseller in your region to do local business with you.

Some of those tools or companies have their storage locations outside the EU/EEA  and with all of them, we have an agreement that states the data should only be used as described above. 

How long do we keep your Personal Data?

QPS will store your Personal Data for a period of five years after your and/or your employer’s most recent interaction with QPS. Except for the financial system in which we need to keep your records for seven years for tax purposes.

QPS may, instead of destroying or erasing your Personal Data, make it anonymous such that it cannot be associated with or tracked back to you in any way.

Cookies or similar techniques

QPS uses functional and analytical cookies. A cookie is a small bit of text that with the first visit to our website gets stored in the browser of your computer, tablet, or smartphone. QPS uses these cookies solely for functionality. These make sure that the website works flawlessly and for example, store your preferences.

On this website third parties place cookies. Below you will find a list:

What are your rights?

If your Personal Data is incorrect or needs to be updated you may at any time request that we correct or update the Personal Data by sending an email privacy@qps.nl. You may also contact us if you no longer would like us to process your Personal Data, if you would prefer us to restrict our processing in any manner, if you want us to erase your Personal Data or if you no longer wish to receive information about QPS’s products. We will then delete your Personal Data from our systems or restrict our processing of your Personal Data. (Please note however, that an erasure of your Personal Data or a restriction of our processing of your Personal Data may mean that we will not be able to provide our services to you, wholly or partially.) In addition, you may receive a copy of the Personal Data relating to you and information regarding our processing of such personal data by sending an email to privacy@qps.nl. In such case, we will provide your Personal Data to you in a commonly used data format.

You have the right to lodge a complaint regarding how QPS processes your Personal Data to the relevant data protection authority or similar body within your jurisdiction.
